Who We Are and How to Reach the Desk
KINHO SPORTS LIMITED is a team kit outfitter registered in Hong Kong and operating from Rm 510 Wayson Commercial Building, 28 Connaught Road West, Sheung Wan, Hong Kong (HK). This Privacy Policy explains how we collect, use, store, share and protect personal information when a club, a player, a coach, a parent or a guardian interacts with our kit desk, our website or our fitting evenings.
The website at www.nanyangoverseas.autos is published by KINHO SPORTS LIMITED and is operated by the developer and site maintainer known as Kinho Sports. The name Kinho Sports is used in this policy to identify the developer responsible for the technical build and upkeep of the website, while KINHO SPORTS LIMITED is the organisation that decides how personal information is used in the course of its kit business.
Questions about this policy can be sent to reception@nanyangoverseas.autos or raised by telephone on +13097188740 during office hours. Written correspondence may be sent to the address above. We aim to answer every privacy question within five business days and will always confirm the identity of the person making the request before releasing any information.
Because our work involves matching shirts to people, some of the information we handle is quite specific, including names, sizes, shirt numbers and club affiliations. This policy is written to make clear why that information is needed, where it goes, and how long it is kept.
The Scope of This Privacy Policy
This policy applies to personal information collected through the website, by email, over the telephone, at the office in Sheung Wan, and at fitting evenings held at a clubhouse or a training ground. It also covers information that a club shares with us about its players so that we can build, press and pack a squad order.
The policy does not cover websites that link away from our site, third party email providers that a visitor chooses to use, or any club administration system that a club operates for itself. Each of those services has its own privacy notice, and we encourage readers to review the notice attached to any service they use outside our pages.
Where a club acts as the controller of player information and engages us only to produce the kit, this policy describes our role as a processor of that club information. In those cases the club decides the purpose of the processing, and we act only on the documented instructions of the club.
Information We Collect From You
We collect information that a visitor or a club voluntarily provides. The most common examples are a name, an email address, a telephone number, a postal address, a club name, an age group, a squad size, a range of playing sizes and the date of a fixture. When a club asks us to press shirt names, we also receive the spelling of each surname and the chosen number.
Where a contact form is used on this website, the information typed into the form is not stored on the website itself. The form prepares an email message that opens in the email application of the visitor and is sent through the ordinary postal routing of the email provider. We therefore receive the message in the same way as any other email sent to the desk address.
We also collect a small amount of technical information automatically when a browser requests a page, such as the address of the page requested and the type of browser used. This information is used for security and to keep the site working correctly. We do not use it to build advertising profiles, and we do not sell it to any third party.
Why We Need This Information
Personal information is needed to answer a question, prepare a written outline of a kit plan, measure a player for the correct size, press a name set that matches the squad sheet, pack the right shirt into the right bag and return a checked crate after an away trip.
Information is also needed to keep a club account accurate across a season. A restock desk can only propose the correct top up sizes if it remembers what the club actually used, and a fitting evening can only be booked sensibly if the desk knows how many players are expected.
We do not use club or player information to send marketing material about unrelated products. Any promotional note about a restock window is sent only to the named club contact who has requested it, and it can be stopped at any time by writing to the desk.
Legal Bases for Using Personal Information
Where the law requires a legal basis for using personal information, we rely on performance of a contract when a club has asked us to supply kit, on legitimate interests when we answer a general question or keep the website secure, and on consent when a parent or guardian has provided information about a child for the purpose of fitting a kit.
For information that a club shares about its players, the club is responsible for confirming that it has an appropriate basis to share the information with its kit supplier. We ask each club to confirm that players and guardians have been told that sizes and names will be passed to the dresser and the press desk for the purpose of producing the kit.
Where consent is the basis, it can be withdrawn at any time by writing to reception@nanyangoverseas.autos. Withdrawal does not affect any work that has already been carried out before the withdrawal was received, but we will stop using the information for the consented purpose from the moment we receive the request.
Privacy for Children and Youth Players
Much of our work concerns youth squads, and we take the privacy of children seriously. Information about a younger player is collected only through the club, a coach, or a parent or guardian. We do not knowingly collect personal information directly from a child who is below the age at which local law allows independent consent.
Shirt names for youth squads are recorded in the way a club and its guardians have agreed. A club may choose a shorter form of a surname or an initial where a family prefers that, and the press desk will follow the instruction on the squad sheet without question.
If a parent or guardian believes that information about a child is held without proper authority, the parent or guardian should contact the desk at reception@nanyangoverseas.autos. We will investigate promptly and will delete information that should not be held or that the club no longer needs for the production of the kit.
How Long We Keep Information
Club contact details are kept while the club remains an active customer and for a reasonable period afterwards so that a past order can be matched against a replacement request. Squad sheets are kept for the duration of a season and for the following season where a club returns, because the next build should not repeat a sizing mistake.
Name set records are kept so that a replacement shirt pressed years later matches the original layout. Where a club asks us to remove a squad sheet before the usual period has passed, we will do so unless a legal or accounting duty requires us to keep a record of the transaction.
Website technical information is kept only for as long as it is needed for security monitoring and then discarded. It is not combined with club contact information and is not used for any commercial purpose.
Your Rights Over Your Information
A person may ask to see the personal information that we hold about them, ask for a correction, ask for a deletion where no legal duty requires us to keep the information, or ask for a restriction on how the information is used. A request can be sent to reception@nanyangoverseas.autos with enough detail to identify the club and the person concerned.
We will acknowledge a request within five business days and will normally provide a substantive answer within thirty days. If a request is particularly complex, we will explain the reason for any delay and give an expected date. We do not charge a fee for a routine request.
Where a club shares player information with us and a player wishes to exercise a right, we may need to pass the request to the club as the controller of that information. We will explain this clearly to the person making the request rather than leaving the request unanswered.
How We Protect Information
Access to club records is limited to the small team that needs the records to carry out a kit order. Records are stored in a controlled office environment, and electronic records are protected by access controls and regular backups. We keep the number of copies of a squad sheet as low as we reasonably can.
Where a delivery partner or a pressing partner is involved, we share only what that partner needs and we expect the partner to handle the information with the same care. We review our arrangements from time to time and update them when the work changes.
If a security incident affects personal information, we will investigate promptly, take steps to contain the incident, and notify affected clubs and any relevant authority where the law requires notification. We will explain what happened in plain language rather than hiding behind technical terms.
International Transfers
Some of our partners, including delivery services, may process information outside Hong Kong. Where that happens, we take reasonable steps to ensure that the information receives a level of protection comparable to the protection described in this policy, through contractual terms or through the safeguards offered by the partner.
A club that prefers its information to remain entirely within Hong Kong should tell the desk when the order is placed. We will explain which parts of the work can be carried out locally and which parts require a partner outside the region, so that the club can make an informed choice before the order proceeds.
Marketing and Restock Notices
From time to time the desk sends a short notice to a named club contact when a restock window opens. These notices are relevant to the kit work the club has already ordered and are not used to promote unrelated services. A recipient can ask to be removed from the list at any time.
Removal requests are actioned promptly and are recorded so that a club is not added back to a list by mistake. We do not buy contact lists, and we do not build lists from third party directories to send unsolicited material.
Links to Other Websites
This website may contain links to other websites, including pages operated by platform providers or by a partner. We are not responsible for the privacy practices of those websites, and we encourage readers to review the privacy notice of any site they visit.
A link from our pages does not imply that we endorse the privacy practices of the linked site. Where a link is provided for convenience, the person visiting the linked site should make their own assessment of that site before providing personal information.
Changes to This Privacy Policy
We review this policy from time to time and update it when the way we work changes. A material change will be reflected on this page with a revised summary note at the top, and clubs with an active account will be informed by email where the change affects the handling of their information.
The version published on this page is the version that applies at the time a person reads it. An earlier version can be requested from the desk if a person needs to understand how information was handled at an earlier date.
Complaints and Concerns
A person who is unhappy with the way personal information has been handled should contact the desk first at reception@nanyangoverseas.autos or on +13097188740. We will take the concern seriously, investigate it and explain what we have found and what steps, if any, we propose to take.
If a person remains dissatisfied after our response, the person may contact the relevant privacy authority in the region where the person lives. We will cooperate with a regulator that makes a lawful request and will provide the information needed to resolve the concern.
